Description
Sandia Preparatory School seeks a highly organized, detail-oriented, and service-focused Admission Associate. This position plays a vital role in supporting the admission process by managing applicant records, coordinating communications with families and schools, and ensuring a welcoming experience for prospective students and their families. Essential Responsibilities
● Serve as a welcoming and knowledgeable representative of Sandia Prep to prospective students, families, educational partners, and community members.
● Guide prospective families through the admissions process by providing timely, professional, and personalized support.
● Process and maintain applicant files throughout the admission cycle.
● Receive, organize, and track application materials, including transcripts, school records, teacher recommendations, and other required documents.
● Monitor the status of applicant records and communicate with families regarding missing or incomplete materials.
● Contact schools to request outstanding records and follow up when documentation is delayed.
● Coordinate Parent Teacher Association (PTA) and Parent Teacher Organization (PTO) sponsorships as part of our community engagement program.
● Respond promptly and professionally to inquiries from prospective families about Sandia Prep's programs, admission process, and deadlines.
● Maintain accurate applicant information in the school's admissions database and ensure records are complete and up to date.
● Assist with the planning and execution of admission events, including Visit Days, Open House, and other recruitment activities.
● Coordinate and support outreach initiatives at community events, school visits, and other outreach opportunities during and outside regular school hours.
● Welcome and interact with prospective families during campus visits and admission events, creating a positive first impression of the school.
● Provide campus tours for prospective students and their families.
● Coordinate parent volunteers for admission hosting, tours, and admission event support.
● Assist with coordinating details associated with Passport to Prep, New Parent Reception, Orientation and other Admission events.
● Collaborate closely with members of the Admission Office and other school departments to ensure a seamless admission experience.
● Maintain confidentiality of applicant and student records in accordance with school policies and applicable regulations.
● Perform other administrative duties and projects as assigned.
Qualifications
● Bachelor’s degree preferred
● Excellent organizational skills with exceptional attention to detail.
● Strong written and verbal communication skills.
● Demonstrated ability to manage multiple priorities and meet deadlines in a fast-paced environment.
● Professional, welcoming, and customer service-oriented demeanor.
● Ability to work collaboratively with colleagues, families, and representatives from other schools.
● Proficiency with Microsoft Office and Google Workspace.
● Experience working with databases or student information/admission management systems is preferred.
● Previous administrative or office management experience is preferred.
● Experience in event planning, admissions, enrollment management, marketing, community relations, customer service, or a related field preferred.
● Ability to work independently, collaboratively, and with a high degree of professionalism and confidentiality.
